ShareHouseManagers manages shared living properties across Melbourne — for landlords, tenants, and everyone in between. This page explains, in plain terms, what personal information we collect, why, and how it’s protected.

This policy applies to everyone we work with in the course of managing a share house or co-living property:

02. What information we collect

From landlords

  • Contact details (name, phone, email, postal address)
  • Property details and ownership documentation
  • Bank account details for rental income disbursement
  • Financial records relating to the property (income, expenses, statements)
  • Correspondence relating to the management of the property

From tenants & applicants

  • Contact details and identification documents
  • Rental history and references
  • Employment and income information provided during application and screening
  • Bond and rent payment records
  • Communication relating to maintenance requests, house coordination, and tenancy matters
  • Information shared in tenant group communications (e.g. house rules, rosters, reminders)

From website visitors

  • Information submitted through enquiry forms, appraisal requests, or our online tools (suburb, property type, contact details)
  • Basic website usage data collected through standard analytics and cookies

Our principle: we only collect information that is reasonably necessary to provide our property management services — nothing more.

03. How we collect information

We collect personal information directly from you when you enquire about our services, apply for a room through Flatmates.com.au or similar platforms, sign a management agreement or tenancy documentation, communicate with us, or use our website tools and calculators.

We may also collect information from third parties where relevant and permitted, such as:

  • Referee and rental history checks during tenant screening
  • The Residential Tenancies Bond Authority (RTBA), for bond lodgement and transactions
  • Listing platforms such as Flatmates.com.au

04. How we use your information

  • Advertise available rooms and respond to enquiries
  • Screen and select suitable tenants
  • Prepare and manage lease and bond documentation
  • Collect and record rent payments and maintain rental ledgers
  • Manage utility billing and shared household expenses
  • Coordinate maintenance and repairs with tradespeople and contractors
  • Prepare monthly landlord statements and rental appraisals
  • Communicate house rules, rosters, and coordination matters to tenants
  • Meet legal and regulatory obligations, including RTBA bond compliance
  • Improve our services and respond to general enquiries

05. Who we share information with

  • Landlords — in relation to their own property (applications, ledgers, statements, maintenance updates)
  • Tenants — where relevant to shared living coordination (house contact lists, maintenance updates)
  • Tradespeople & contractors — to carry out maintenance and repairs
  • The RTBA — for bond lodgement and compliance
  • Our software providers — PropertyMe, Google Workspace, and our banking provider, to operate our systems
  • Listing platforms — such as Flatmates.com.au, to advertise available rooms
  • Regulatory bodies — where required by law
We don’t sell personal information. And we never share your information for marketing purposes without your consent.

06. Storage & security

We store personal information using a combination of secure digital systems, including PropertyMe, Google Drive, and Google Sheets, with structured folder and record-keeping practices. Financial transactions are recorded through our banking provider (NAB).

We take reasonable steps to protect information from misuse, loss, and unauthorised access, including:

  • Restricting access to records to authorised staff only
  • Maintaining structured, organised digital record-keeping
  • Using secure, reputable third-party platforms for storage and communication

No method of electronic storage is completely secure, and while we take reasonable precautions, we cannot guarantee absolute security.

07. Tenant & landlord communication channels

For day-to-day house coordination — cleaning rosters, bin reminders, general notices — we may use group messaging platforms such as WhatsApp. Official tenancy matters, financial records, and formal communication are managed through email and PropertyMe, to keep a proper written record.

Landlord communication follows the same principle: email and PropertyMe for records, with WhatsApp reserved for urgent matters.

08. Retention of information

We retain personal information for as long as needed to fulfil the purposes described in this policy, and as required by law — including record-keeping obligations for tenancy, bond, and financial matters. When information is no longer required, we take reasonable steps to destroy or de-identify it securely.

09. Access & correction

You may request access to the personal information we hold about you, and request that we correct anything inaccurate, out of date, or incomplete. To make a request, contact us using the details below — we’ll respond within a reasonable timeframe, in line with the Australian Privacy Principles.

10. Cookies & website tools

Our website may use cookies and similar technologies to support basic functionality and analytics, including our rental calculator and rental appraisal tools. This helps us understand how our tools are used and improve the experience for landlords and tenants. You can adjust your browser settings to manage or disable cookies at any time.
